How to Use Todoist – Organize Your Tasks Like a Pro

Setting Up Your Todoist Account
First things first, let’s get you signed up. Head over to todoist.com and click on “Start for Free.” Todoist provides plenty of information about how the platform works, making it easy to navigate.
You can sign up using your email or link your Google or Facebook account. Once you’ve done that, you can personalize your account by uploading a photo and adding your name. It’s quick, and before you know it, you’ll land in the “Today” view, ready to start organizing your tasks. It’s that easy!
Creating Your First Project
Now that you’re signed up, it’s time to create your first project. Projects in Todoist act as buckets for grouping related tasks, which helps keep everything organized.
To create a project, navigate to the sidebar and look for “My Projects.” Click the plus icon to add a new project. Let’s say I own a business and want to create an “Admin” project. Name your project accordingly and select a color—you can go with teal for this example. You can also add it to your favorites for easy access.
Next, choose your preferred layout. You can view it in list form or as a board (Kanban view), but for now, let’s stick with the list format. Now, let’s add some tasks!
Adding Tasks to Your Project
Within your project, you can add individual tasks. For example, let’s add a task called “Balance the budget.” You can include a description, set a due date, and assign priority levels—high, medium, or low. Setting reminders is also a useful feature, especially for tasks that occur monthly or weekly.
For this task, let’s set it to be due today with the highest priority level. If you’re working on a longer project over several days, you can also set a deadline for completion.
Utilizing Subtasks for Better Organization
To enhance your organization further, consider adding subtasks. If “Balancing the budget” is a larger project, you might need to collect receipts, for instance. Simply add this as a subtask by dragging it under the main task, and it becomes part of the larger project.
Todoist has a fantastic feature that automatically assigns due dates when you include phrases like “next month” or “tomorrow” in your task title. For example, if I type “Tomorrow, take out the garbage,” it will automatically set that task for tomorrow. This feature helps streamline your workflow.
Understanding Todoist Views
Now let’s talk about the key views within Todoist. The inbox is your default catch-all for tasks that haven’t been assigned to a specific project. This is particularly useful when you’re on the go and need to quickly jot down ideas or tasks.
When you set up your account, Todoist provides a few example tasks in your inbox to help you get started. You can check off completed tasks, and the app will give you a satisfying graphic for your accomplishments.
Switching to the “Today” view shows only the tasks you need to complete today, which I find very helpful. It helps isolate what you need to focus on without the distraction of future tasks. You can see your progress as you check off items, and it gives a clean sense of accomplishment.

At the end of each day, I like to look at what tasks are coming up. This helps me prepare for the next day and adjust my schedule as needed. You can see tasks for tomorrow and even the next week. This view allows for easy planning and ensures you’re always aware of what’s ahead.
